Privacy Policy

Last updated: 1 August 2026

SnookHQ is snooker club management software. This policy explains what information we handle, why, and what choices you have. It covers the SnookHQ web application and website.

Who is responsible

SnookHQ operates the platform. Club owners who use SnookHQ decide what customer information they enter into it — for that information, the club is responsible for what it collects and we process it on the club's behalf.

What we collect

CategoryExamplesWhy
Account detailsName, email, phone, role, password (stored only as a hash)To create and secure your account
Club & venue dataClub name, address, city, tables, rates, opening hoursTo run the features you signed up for
Operational recordsGame sessions, frames, bookings, café orders, inventory, expensesTo provide billing, reporting and history
Club customer recordsNames, phone numbers and outstanding credit entered by club staffEntered by the club to manage its own customers
Payment evidenceScreenshots or reference links you upload for manual paymentsTo verify subscription and advance payments
Technical dataIP address, browser type, timestamps, request identifiersSecurity, abuse prevention and diagnosing faults
Signup contextApproximate location derived from IP at signupTo spot obviously fraudulent registrations

We do not process card numbers. SnookHQ has no card payment integration; subscription payments are arranged manually and we only ever see the evidence you choose to upload.

How we use it

  • To provide the features of the product
  • To authenticate you and keep accounts secure
  • To send service email — verification, password resets, booking updates, reminders
  • To detect and limit abuse, such as automated signups
  • To diagnose errors and improve reliability

We do not sell your information, and we do not use it for advertising.

Who we share it with

We share information only with services needed to run the platform:

  • Hosting and database providers — to store and serve your data
  • Email delivery provider — to send the service email described above
  • Error monitoring — where enabled, receiving only a request identifier, route, HTTP method, status code, and the acting user or club identifier. Never message contents, passwords, tokens or request data

We may also disclose information where the law requires it. Otherwise we do not share it with third parties.

Retention

Operational records are kept while your account is active, because the product's value is its history. Demo accounts are automatically deleted when they expire. When an account is closed, tell us and we will delete or anonymise the associated data, except where we must keep records to meet a legal obligation.

Security

We take practical measures to protect your information, including:

  • Passwords stored only as salted hashes, never in readable form
  • Encrypted connections (HTTPS) between your browser and our servers
  • Access controls so each club can reach only its own data
  • Rate limiting and automated abuse protection
  • Regular automated database backups

No online service can promise perfect security, and we do not claim to. If we become aware of a breach affecting your information, we will tell you.

Your choices

  • View and update your profile from your account settings
  • Change your password at any time, which signs out other devices
  • Request a copy of your data, or its deletion, by contacting us
  • If a club entered your details as its customer, contact that club first — they control that record

Children

SnookHQ is intended for club operators and their adult customers. We do not knowingly create accounts for children.

Changes

We will update this page when our practices change and revise the date above. Significant changes will be notified in the app.
